Monday, August 30 - From Paula

Good morning everyone!

Just a few notes from the front office...

Student handbooks are ready to distribute.  Please check your mailboxes.  I generated a list from PowerSchool to tell me who is the oldest/only in each class - if you find that there are additional oldest/only children, please let me know how many additional handbooks you need and I will  make that happen.  (Unfortunately, many parents don't check the box on the enrollment paperwork so my report will not be 100% accurate)  

If you have items you would like to purchase from Office Depot, please see me first.  I can do an on-line order and the price is GREATLY reduce.  

If you use the copier in the office and it somehow gets jammed...please do your very best to find the jam and fix it.  The screen will walk you through the process and tell you exactly what to do.  If you aren't able to fix it, please let me know.  Thank you for your help with this.

We will be issuing the first Maple Grove Branch newsletter on Friday.  I will send you each an electronic version, and please forward to your families.  Please let me know by Thursday how many paper copies you will need for those families without email.

And lastly, thank you to each and everyone of you for making my first 'real week' in the office a success (in my eyes!).  I've enjoyed being part of the Maple Grove team.

NO STAFF MEETING THIS FRIDAY (August 27) - We will have a meeting next Friday morning (Sept 3) that will include information about voluntary benefits through Colonial.  This is the message from Lora Appenzeller-Miller regarding this meeting:   The products are voluntary life, short term disability, cancer and hospital policy. This is similar to AFLAC- if you are familiar with the duck commercials. The meetings will last about 15 minutes- a presentation, and then a packet of handouts will be distributed. A sign up sheet will be sent around for those who wish to sign up to talk to a representative the next day- so they will need a place to "hang out" in your lounge for that day. Employee's don't have to sign up in order to talk to the rep. Let me know if there are questions - Lora.

PBIS Assemblies were planned by the team and will take place on Friday (8-27).  Kindergarten through 2nd grade need to be in the gym and ready to go by 2:00 pm.  Third through fifth grade will need to be in the gym and ready to go by 2:45 pm.  I appreciate the PBIS team putting this assembly together!


Parent Email Addresses - Please have a parent email group set up by next Monday, August 30th.  I would like to push out the building newsletter by September 3rd and will send the newsletter to classroom teachers to forward on to parents.  I wish we could push mass-emails to parents from Power School but that is not an option at this point so I will rely on every classroom teacher to set up your parent email list!!

Tornado and Fire Signs - If your classroom does not have your tornado or fire map, please email me.  I will print the color maps and place them in your box to be posted.

Teacher Schedules - Please EMAIL your schedules to Paula and I when you have them set.  I do not need a hard copy.

Attendance - This needs to become habit by today.  :)  With no attendance secretary in the office, the job of tracking down missing students will fall upon Paula and Kara.  We need accurate attendance to ensure all students are safe!  Thanks for helping with this process.

Color Printer - Starting Monday, if you need to print something in color, you will need to email the file Carrie Dirksen and she will print it for you.  This is also a good time to remind everyone to pick up what you print and please, please, please do not print classroom sets to our printers.  A great way to save money in our budget is printing what we need and making copies at the AEA or Central Print.  Thank you in advance for helping us with this concern.

School Pictures - The forms were brought down to classrooms on Thursday.  Please get those out this week as school pictures are next week already - Friday, September 3rd!

First Couple Days - I appreciate everyone who has stepped up to help cover duties, answer questions and work with new parents and students!  Your teamwork has made the first couple days go very smoothly - of course, there are always things to iron out and tweak so I appreciate the ongoing positive communication to make that happen.  If concerns are out there or tweaks need to be made, please talk to your BLT member or stop in to visit with Lyndsay and I.

Weekly Memo & Upcoming Events - Each Friday (rain, shine, or .... snow), I will post the Friday Weather Report.  This weekly bulletin includes information and recaps from the past week, news for the upcoming week and any information that will (hopefully) be helpful in keeping us all on the same page.  It is put in place to limit the number of emails from me during the week and a place of reference if you need to find something down the road.  The weekly/monthly calendar is always at the bottom and will be updated regularly.  If you'd like information included in the weekly bulletin, please let me know by Wednesday.  Dates for the calendar can be emailed to Paula to be added.

New staff orientation - It has been a busy week for our new-to-Waukee staff!  Over the past three days, 14 Maple Grove staff members have been involved in a variety of learning, collaboration and growing.  I appreciate your high level of engagement and thirst for new knowledge!  You all dove right in and I truly believe we have the right people in the right places to make it a very successful year!

Staff handbook goes online!  Attached to the FWR email was the updated Section 3 from our staff handbook (General Information).  The new staff was exposed to the handbook today and we will cover some key items Monday morning with all staff at our 10 am meeting.  Please take time to look through this section of the handbook. As mentioned Thursday morning, the entire Staff Handbook will be online by Monday morning and I will have the link and location for you. Placing this online and not updating new changes each year with hard copies will help us lower printing costs. Returning staff members may pick up hand book binders in the conference room and rip out the old pages if you wish but we will not be replacing the pages this fall. Ones not picked up will be emptied and reused for other purposes.

Volunteer Forms - We expect all teachers will use a volunteer form at Open House. If you do not have a volunteer form, I also attached an example to the FWR email. This was the one that was passed around at Thursday's new staff meeting. You do not have to use this form if you have an adequate one in place already. Please post a volunteer sheet outside your classroom door on Monday, August 23rd during Open House. You may want to make a sign to draw attention to it and verbally remind parents to sign up to volunteer. There will NOT be another volunteer form sent home so please communicate with families who were unable to attend Open House about the opportunity to sign up to volunteer. It will also be in the first building newsletter.

When you have your list of volunteers it will be your responsibility to make contacts and set up your classroom and at-home volunteer schedules. Also, by Friday, August 28th please make one copy of your volunteer spreadsheet and… 
  • Place a copy in Pam Mefford’s mailbox so she can begin contacting Media Center volunteers.
  • Please keep your original volunteer spreadsheet for your records.
  • Let Doug or Lyndsay know if you do not have ANY parents sign up to volunteer in your classroom.
  • Reminder: A district-wide decision was made that NO siblings are allowed to accompany parents when they volunteer at school. If you notice this happening, we ask that you politely discuss this policy with the parent. If necessary, Doug or Lyndsay will follow-up with that parent. Please remind your classroom parents of this rule in your first classroom newsletter.
Supplies - Please note that the supply room in the office should only be accessed by requests through Paula.  Once the year begins, we will have a system in place for staff to make requests for needed items.  Supplies from the office do not include sticky notes, markers, pencils and pens for students, etc.  Student supply lists include many of these items and teachers can place "wish lists" outside their rooms during Open House (Aug 23) and Curriculum Night (Sept 16). 

Monday Morning's Agenda - Enjoy your work day on Friday. Monday's all-staff agenda will be in your "email box" by Friday morning. For returning staff members and associates, the related arts schedule and other needed items will be in your physical mailbox in the office by Friday morning. Please bring that paperwork and your laptops to the meeting at 10 am on Monday!

Congratulations to Alison Costa for the birth of a healthy baby girl, Sofia Christine!  We wish you and your family the best during your time at home with Sofia.
Thank you - I appreciate your patience and ongoing support for Paula and I as we transition to Waukee CSD and Maple Grove Elementary.  My summer individual conferences were well worth the time and I continue to be impressed more and more each and every day I work alongside you.  May your patience for me continue well into......next week.  :)    Have a great weekend!

Associates not contacted by their supervising teacher should just plan to report on Monday, August 23 from 8:00 until Noon (returning associates), or 8:00-3:00 (associates hired between 8/20/09 and the start of the 10-11 school year).
